Setting Up Activities
WebAn activity is the scheduling foundation for a bookable service, such as a salon, class, rental, or appointment type. Open Admin > ZynoSales > Booking, create or select an activity, and use its tabs to configure it.
General
Set the activity's Name, URL Slug, Description, Location, and active status.
- Location scopes the activity to one location. Choose All Locations when it is available at every location.
- URL Slug is the activity's stable URL-friendly identifier. It remains part of the activity configuration; it does not currently expose a public booking page.
- Active controls whether the activity accepts new staff bookings and appears on the booking calendar.
An activity does not have a separate timezone field. Booking times use the selected booking location's timezone.
Scheduling
Choose the slot strategy and the calendar display mode on the Scheduling tab.
Fixed slots
Use Fixed Slots when every time slot has the same length. Set Slot Duration in minutes. This works well for classes and other sessions that start on a regular schedule.
Variable duration
Use Variable Duration when staff select from a defined list of session lengths. After the activity exists, use the Slot Durations tab to add the allowed durations and their price modifiers.
Resource-driven
Use Resource-Driven when each bookable product supplies the duration. This works well when different services use the same resource for different lengths of time.
Capacity and calendar display
When the activity has no resource types, choose a participant limit, a sellable-minutes limit, or both. The first reached limit closes the slot. When the activity has resource types, configure capacity on those resources instead.
Choose Time Block, Resource Columns, or Slot Grid to match how staff need to read the calendar. Calendar Interval controls the visual grid density; leave it blank to let Sales derive it from the activity or product durations.
Buffers and booking window
Use the Scheduling tab to set:
- Buffer Before and Buffer After for preparation and cleanup time.
- Buffer Scope: Per Resource blocks only the assigned resource, while Per Activity blocks activity-wide availability.
- Max Advance Booking for the furthest date at which a booking can be created.
- Minimum Lead Time for the shortest notice allowed for staff bookings.
The page also contains Online Booking Cutoff. It is additional online-only configuration, but no public browser booking creation flow currently uses it.
Policies and confirmation
Use the Policies tab to select a confirmation mode and cancellation policy.
- Automatic confirms every booking immediately.
- Staff auto, online review confirms staff bookings immediately and retains online-review behavior in the configuration.
- Manual leaves bookings unconfirmed until staff approve them or the customer confirms by SMS reply.
Choose Flexible, Moderate, Strict, or Custom for the cancellation policy. When you select Custom, use the Cancellation Rules tab to set the refund tiers.
The Policies tab also retains online cancellation and rescheduling controls and their cutoff units. They have no customer-facing self-service page in the current product; staff continue to cancel and reschedule through the booking workflows.
Booking reminders
The Policies tab can send SMS reminders before the appointment. Add up to three reminders, each on a different whole-number day from 1 through 365 days before the appointment. Turn on Request confirmation for a reminder when the customer should be able to reply and confirm.
Reply-to-confirm requires a reply-capable SMS sender. Configure it at Admin > ZynoSales > Settings. Reminders still send without a reply-capable sender, but the customer cannot confirm by reply.
Availability, resources, and blocked times
Use the remaining activity tabs to complete the setup:
- Availability for recurring and date-specific schedule windows.
- Resources for resource types, individual resources, allocation, and qualifications.
- Blocked Times for one-off and recurring exceptions that remove availability.
- Slot Durations for variable-duration activities.
